This is a critical role in the HR team and for the business, managing all essential HR administration tasks. You will coordinate activities across the employee life-cycle and be an important link for communication, information flow, and data management for employees in the company. The role will also require you to assist with and lead your own projects and initiatives and will report into the HR Operations Manager.

Key Responsibilities:

Management of Starters, Leavers and changes

  • Preparing and processing all HR documents including offer letters and employment contracts, references, leaver, change and confirmation letters
  • Ensuring employment contract compliance administration, liaison with future employees and probation monitoring in conjunction with the line manager
  • Managing IR35 assessment process
  • Processing pre-employment screening
  • Forming and maintaining employee records on the HRIS and relevant databases
  • Administering the leaver process, including conducting exit interviews
  • Completing reference requests 
  • Administering Visa applications
  • General Administration

  • Ensuring that information held on the HRIS and employee files is up to date and maintained in line with the internal procedures and data protection regulation
  • Supporting managers to navigate HRIS
  • Collating data for reporting and analysis
  • Purchase Order processing and tracking
  • Managing company access pass system
  • Assisting in the reviewing and renewing of company policies and legal compliance
  • Assisting Payroll with the administration of employee benefits
  • Coordination of wellbeing initiatives
  • Coordination of Social Committee, including employee parties and treats
  • Recruitment

  • Assisting in the administration and support of recruitment campaigns including vacancy monitoring and processing
  • Managing our Work Placement Programme
  • Responding to and managing speculative CV’s
  • On-boarding

  • Owning and administering the employee on-boarding programme
  • Delivering HR Induction
  • Learning and Development

  • Administering E Learning programmes
  • Coordinating internal and external training as required
  • Liaising with and supporting employees and line managers with training queries and requests
  • Employee Relations

  • Being the first point of contact for employees on any HR related queries
  • Supporting senior members of the HR team with ER cases in accordance with HR policies and procedures, best practice and employment legislation with administration and note taking
  • Knowledge, Skills & Behaviours:

  • Experience of working within a busy HR department
  • Exceptional administration and organisational skills
  • Excellent verbal and written communication skills with the confidence to present to groups
  • Be able to effectively gather, analyse and present information, including numerical data.
  • Highly methodical and organised, including time-management skills amid changing priorities
  • Able to take initiative and work independently with a strong sense of urgency in completing assigned tasks
  • Must be organised, accurate, thorough and able to self-monitor work for quality
  • Positive, flexible and inquisitive attitude with a strong desire to learn
  • Ability to quickly establish credibility while building rapport and trust
  • Demonstrate confidentiality and diplomacy at all times
  • Impeccable IT knowledge including MS Office and previous working of working with a HRIS
  • Education / Qualifications:

    Preferably educated to degree level
